If you have found a product in China but are not ready to buy a full batch, start with a sample. Send the supplier the exact version you want, agree the price and delivery details, and decide what you need to check when it arrives.

A useful sample request answers two questions: What should the supplier send? What will help you decide whether to place an order?

Start with the right sample

Ask whether you will receive an existing product, a custom version or an item taken from production. Alibaba.com’s buyer guide explains these different types of samples. Knowing the difference helps you avoid approving a standard item when your order needs changes.

What you need What to ask for
See an existing model A sample of the exact model and variant
Check your own design or branding A sample showing the changes you need
Review a product from a production run Confirmation of which batch the sample comes from

If the supplier cannot provide the version you need, ask what the sample can show and what will still need checking.

For an existing product, an available sample can help you decide whether to keep talking to the supplier. For your own design, you need to know whether the changes can actually be made. Sourcing company Guided Imports discusses this choice between existing and custom samples. Treat it as a decision about your project, rather than a rule that every buyer needs the most expensive sample first.

What to send with your request

You do not need a complicated document to get started. Include:

  • A product link or clear photographs.
  • The model, size, material and colour you want.
  • The accessories or parts that should be included.
  • How many samples you need and your likely order quantity.
  • Any branding or packaging requirements.
  • Your delivery country, city and postal code.

For example, “a metal bottle like this” leaves important details open. A more useful request identifies the capacity, lid type, finish and any logo requirement. If you do not know a technical detail, mark it as a question instead of guessing.

Confirm the full sample cost

Ask for the sample price, any custom work, packing and delivery charges separately. Also ask whether the supplier proposes a credit against a later order. Keep that answer with the quotation.

If you want us to receive the sample in China first, explain whether you need photos, measurements or another check before it is forwarded to you. We can discuss what is practical and confirm the charges before proceeding.

Ask before testing or forwarding the sample

Tell whoever checks the sample whether it must remain usable. Sofeast’s sample evaluation service notes that some evaluations involve taking samples apart. Ask what the proposed checks will do to the item and whether you need another unit for photographs, testing or your own review.

If you want photos before the sample leaves China, agree which views you need and who should approve forwarding it. A useful request identifies the product, accessories and the particular detail you are worried about.

Check the sample against your request

Check What to record If something differs
Model and accessories Photos and a list of what arrived Ask whether the correct version can be supplied
Size and visible finish Measurements and close-up photos Describe the change you need
Required function Results of the agreed check Ask whether further testing is needed
Packaging Protection, contents and any requested labels Confirm the packing for the main order

Some properties need specialist testing. If a photograph cannot answer your question, ask how that feature can be checked.

Before you order the batch

Tell the supplier what you accept and what needs changing. Keep the approved sample identifiable and put the final requirements into a product specification.

Sofeast describes a “golden sample” as the approved physical reference for production. Ask which sample represents the agreed materials and production method, identify it with the approval date and keep the supplier and inspector working from the same version. Keep written requirements alongside it, especially for features that a physical sample cannot explain clearly.

A good sample helps you make a decision, but it does not prove that every item in a future batch will match it. Agree the pre-shipment checks and who will approve dispatch before placing the larger order.

Need help with your order?

Send us your product link or photos, the quantity you want and your delivery country and city. Tell us if you need samples, product photos, a factory visit, inspection or help combining supplier orders. If you know the packed weight and dimensions, include them too. We can discuss the work and confirm the price before you decide. Contact us on WhatsApp or Telegram.

Questions before ordering

What if the sample does not match my request?

Photograph the difference and compare it with the agreed requirements. Ask whether the supplier can correct it, what another sample would cost and who pays for delivery. Confirm those terms before arranging the next sample.

Will the supplier refund the sample fee?

Ask before paying. A credit against a later order is something to agree with the supplier, not something to assume.

Can samples from several suppliers be sent together?

We can discuss receiving them in China and arranging one onward shipment. The receiving, packing and shipping charges need to be confirmed for your request.

Does approving the sample mean the bulk order is approved?

No. Keep the approved sample and written specification, then arrange the checks you need for the production order before dispatch.
